Once your event is live on Rubric, it's time to get the word out and sell those tickets!

How can I promote my event?

To maximize attendance and engagement:

  • Email campaigns: Notify your members with an email blast. Use our user-friendly templates to create a campaign quickly.

  • Social media sharing: Share your link-in-bio or QR code on platforms like Facebook, Instagram, LinkedIn, etc.

    • Link-in-bio: All your events, memberships, and merchandise automatically appear on your link-in-bio – an easy way to keep everything accessible in one spot.

    • QR Code, Generate and download a QR code for each event you've created.
Tips: We’ve seen clubs and societies publish the QR code on their Facebook Event page or Instagram page. You can also print it and add it to the door of your club’s room or the university billboard!

You can find all these options to promote your event when clicking on the Manage Event button of your event tile.

Can I sell tickets in person?

Absolutely! You can use the Sell Cash Ticket option by clicking the three little dots in the corner of your event block. Attendees can enter their details and will receive their ticket via email. They can also find their purchases on the app or web app by signing in with the email address or phone number linked to their purchase.

How can attendees join the waiting list?

If you've set a maximum capacity for your event and all tickets are sold out, a waiting list will be automatically created and remain open until your sales end date.

How to manage the waiting list:

  • View Waiting List

To view your waiting list, click on the View Waiting List option under the three dots in the top corner of your event block.

  • What to do with the waiting list?
    • Ignore the list: If you don't want to take any action.
    • Offer tickets: Click Offer ticket to provide tickets to interested individuals. They'll receive a text message with a payment link (for paid tickets) or a link to their ticket (for free tickets). For paid tickets, they have 24 hours to accept and complete the payment before the offer expires.
    • Reach out to your waitlist group: Use the communication function to send an SMS or email to your waitlist group. An Event Waitlist contact list is automatically generated, making it easy to send your message.
